Team and roles
Invite colleagues, give each one a role, change it or remove them, and know what every role can do.
Everyone who signs in to your organisation has exactly one role. The role decides which screens they can change, whether they can see spend and billing, and whether they can manage other people. This page explains the built-in roles and how to invite, change and remove members. Narrower custom roles are covered in Governance.
The roles
| Role | Meant for | What it can do |
|---|---|---|
| Owner | The person who created the organisation | Everything, including changing roles, removing members, single sign-on, data retention, data export and deletion requests. |
| Admin | Team leads, whoever handles the account | Everything an owner can do day to day: invite members, billing and checkout, spend and usage, integrations, API keys, workspace settings. Admins cannot change roles or remove members. |
| Member | The people doing the work | Measurement, prompts, content, audits, workflows and the other working screens. No billing, spend or member management. |
| Viewer | Stakeholders who read results | Reading dashboards and reports. Most actions that create or change work are closed to viewers. |
| Client portal | An agency's client | A read-only login limited to a single workspace, managed from the White label screen. See White label and client portal. |
A role is enforced by the API, not only hidden in the interface: a request a role is not allowed to make is refused with HTTP 403, whether it comes from the panel or not.
Where to find it
Open the user menu (your name at the bottom of the sidebar), choose Settings and open the People tab, or go to https://app.rixe.ai/settings?tab=people. The Members card lists everyone in the organisation with their Name, Email and Role.
The list and the invite button are available to owners and admins.
Inviting a member
- Go to Settings › People and click Invite member.
- Enter the person's Email and, if you like, a Name (optional).
- Choose a Role: Admin, Member or Viewer. The owner role is not granted here.
- Click Invite member.
The person is added to the organisation straight away and receives an email with a link to set their password. Nobody types or sees a password during the invite. If the address already has a Rixe account (for example because they work in another organisation too), they are simply added and keep their existing password.
If the membership was created but the email could not be sent, the dialog says "The member was added but the invitation email could not be sent." The membership stands; ask them to use Forgot your password? on the sign-in screen.
Inviting an address that is already a member of your organisation is refused.
Using single sign-on?
With SSO configured you don't need to invite people one by one: anyone your identity provider lets in gets an account on their first sign-in, with the role your group mapping gives them. See Single sign-on.
Changing a role
Only the owner can change roles.
- Go to Settings › People.
- In the member's row, pick a new value in the Role column.
The change is saved immediately and takes effect the next time that person signs in. Three rows cannot be changed from here: your own, the owner's and a client portal user's (those are managed on the White label screen).
For members who sign in through SSO, the identity provider's group membership decides the role on every sign-in, so a role changed by hand can be overwritten the next time they sign in. Change their group at the identity provider instead.
Removing a member
Only the owner can remove members.
- Go to Settings › People.
- Click Remove in the member's row.
- Confirm with Yes, remove.
The person loses access to this organisation. Their Rixe account itself is not deleted, because the same person may belong to other organisations. As with role changes, you cannot remove yourself, the owner or a client portal user from this list.
How many people can join
Brand plans are not limited by a seat count. Agency plans list Staff seats and Client portal seats in the plan comparison on Billing › Plans; see Plans and limits for the numbers.
Common questions
I changed someone's role and nothing happened. The new role applies from their next sign-in. Ask them to sign out and back in.
Can there be two owners? No. The owner role cannot be given from the members list, and the owner cannot be demoted or removed there.
A colleague left the company. Remove them under Settings › People. If you use SSO with SCIM provisioning, deactivating them at your identity provider ends their sessions in Rixe within about a minute — see Single sign-on.
Can I give someone access to only part of the product? Yes, with a custom role that narrows a built-in role to a list of areas. See Governance.
