Act
Brand vault and knowledge base
The facts, voice and rules every generated text follows, and the documents it may quote from.
Everything Rixe writes for you — briefs, drafts, rewrites, outreach messages — is grounded in two places. The brand vault says who you are and how you write: your definition, tone, rules, author, verified facts and the claims you never make. The knowledge base holds the documents generation may quote from beyond the vault: price lists, product sheets, policies, help articles. Fill both before you generate content; a draft can only be as accurate as what it is given.
Where to find them
- Brand vault: open the user card at the bottom of the sidebar and choose Profile (it is also the first tab of Settings). The vault is the editor below your brand's name and domain.
- Knowledge base: the Knowledge base link sits on its own at the bottom of the sidebar, above the user card.
The brand vault
Start from your site
When the vault is empty, you can fill it by hand or have Rixe read your site and propose a starting draft. Later, Refresh from site re-reads the site and shows the difference against the current vault, section by section; press Apply draft to form to take it, then review and save. Nothing proposed from your site is used until you save it.
What goes in each tab
| Tab | What you write |
|---|---|
| Identity | Company definition (one paragraph: what you do, for whom), Products and services, Tone of voice, Formality (neutral or formal) and Phrases to avoid. |
| Writing rules | Rules with a Scope (everywhere, a page type, or a region) and a Severity (Must or Should). A region rule overrides a page rule, which overrides a global one; only the rules in scope are sent to generation. |
| Author persona | Name, title, short bio and credentials. Assistants cite signed, expert-authored pages more; this person goes into every draft's author block. |
| Audiences | Each audience and its need or question. |
| Regions | One entry per market you measure, with a region note and extra rules. Content generated for that region reads them first. Regions come from your markets. |
| Visual guidelines | Logo URL, primary and secondary colour, imagery notes. Never enters prose. |
| Custom variables | Key–value pairs. Write {{key}} in text and generation replaces it with the value — useful for phone numbers, addresses and prices that change often. |
| Facts & claims | Claims never to be used, Domains never to cite, Verified information (question and answer pairs), Citable references and Terminology. |
| Versions | Version history, comparison and rollback. |
Guardrails that stop a draft
Three vault fields are enforced, not just suggested:
- Claims never to be used — if one appears in a draft, the draft cannot be approved.
- Domains never to cite — their pages are removed from research before writing starts, and a link to one fails the text.
- Terminology — for each term choose Preferred (your house term), Avoid (replaced softly) or Never (the text fails if it appears), and say what to write instead. You can import a CSV with the columns term, type, replacement, category.
Versions
Every save is a new version. Add a Version note saying what you changed and why. On the Versions tab you can Compare any two versions side by side, or Revert to this version.
Voice profiles
A voice profile is a complete vault of its own — for an audience, a product line or a campaign. Everything you generate uses the active one.
- Under Voice profiles, type a name (for example Enterprise buyers) and press New voice. It starts as a copy of the active vault.
- Edit it and save.
- Press Use this voice to make it active before you generate.
How many voice profiles a workspace can have depends on the plan (one on Solo); see Plans and limits.
llms.txt from the vault
The Profile header has View and Download llms.txt. The file contains the vault's verified facts, banned claims, author and most-cited pages in the llms.txt format that AI systems read. It is regenerated each time the vault is saved.
- Download the file.
- Upload it to your site root as
https://yourdomain/llms.txt. - Download it again whenever the vault changes; the date line shows the version.
Site health checks whether your site serves an llms.txt.
The knowledge base
What it does
When Rixe drafts content, and when the site agent answers visitors, it quotes from these documents, so the output rests on your real facts instead of guesses. Documents are stored as text and split into passages; for each brief, the passages that match its topic go into the generation call, each labelled with the document it came from.
Matching is done by the words in the question, inside Rixe. No document text is sent to an outside service to be embedded.
It fills itself
Your site is read every night: the text of your tracked pages is added to the knowledge base and kept up to date on its own. You can still add documents by hand.
Add a document
- Add text — give it a Title and paste the Content as plain text, with paragraphs separated by a blank line. Up to 200,000 characters.
- Add from a page — enter a public Page URL and press Read and add. The visible text is taken and the title read from the page.
The table lists each document with its Kind (Text or Page), Words, Passages and when it was last updated. Delete removes a document.
Try it before you rely on it
Under Try it, type a question as a customer would ask it (for example how much does it cost) and press Search. You see exactly which passages generation would receive. If nothing matches, the answer is "No passage matches this question" — add a document that covers it.
Limits
| Limit | Value |
|---|---|
| Documents per knowledge base | 500 |
| Characters per document | 200,000 |
| Documents created by the nightly site read | at most 200, so at least 300 slots stay free for documents you add |
When the knowledge base is full, delete a document before adding a new one.
Common questions
Which matters more, the vault or the knowledge base? The vault decides voice and boundaries and always applies. The knowledge base supplies facts on demand. A draft about pricing needs your price list in the knowledge base; a draft in the wrong tone needs a better vault.
A draft states something that is not true. Add the correct fact under Verified information and the wrong statement under Claims never to be used, then request a revision. The claim scan runs again on every save.
Do edits change content that was already generated? No. They apply to everything generated after you save.
